Understanding Customer Profile Tabs
Durable’s Customers section provides a central hub for managing all interactions with your customers. Each customer profile includes dedicated tabs that allow you to view communications, add internal notes, and manage invoices directly.
When you open a customer's profile, you will find the following key tabs:
Messages: View all communications with the customer.
Notes: Add and manage internal notes about the customer or specific interactions.
Invoices: Create, view, and manage invoices for services or products provided to the customer.
Viewing Customer Messages
The Messages tab in a customer's profile serves as a communication log, displaying all messages exchanged with that specific customer.
This includes:
Submissions from your website's contact form.
Replies to booking confirmations or other automated messages sent through Durable.
To view customer messages:
Navigate to Customers.
Select the customer whose messages you wish to view.
Click on the Messages tab within their profile.
You can review the conversation history and respond to messages as needed, ensuring all communication is centralized and easily accessible.
Adding and Managing Customer Notes
The Notes tab allows you to add internal comments or reminders about a customer. These notes are private to your business and are not visible to the customer.
To add a new note:
Open the customer's profile.
Click on the Notes tab.
Click the Add Note button.
Enter your note in the text field provided.
Click Save.
Viewing and Editing Notes
All saved notes will appear in a list under the Notes tab. You can click on an existing note to view its full content or make edits if necessary. This helps you keep track of important details, preferences, or follow-up actions related to each customer.
Creating and Managing Customer Invoices
Durable allows you to create and manage invoices directly from a customer's profile. This feature is available with a Launch or Grow subscription.
To create a new invoice:
Open the customer's profile.
Click on the Invoices tab.
Click the Create Invoice button.
Fill in the invoice details:
Invoice Number: This is automatically generated but can be edited.
Issue Date: The date the invoice is created.
Due Date: The date by which payment is expected.
Items: Add individual line items for services or products. For each item, specify the description (e.g., "Standard consultation (1 hr)"), quantity, and unit price.
Notes: Add any additional notes for the customer (e.g., "Thank you for your business!").
Click Save Invoice.
Managing Existing Invoices
Once an invoice is created, it will appear in the list under the Invoices tab. From here, you can:
View the invoice details.
Mark an invoice as paid.
Send the invoice to the customer.
Edit the invoice details before it is sent or paid.
Deleting Notes and Invoices
You can delete notes and invoices from a customer's profile if they are no longer needed. Please exercise caution when deleting, as this action is usually permanent.
