Understand how to monitor sales, manage order statuses, view customer details, and process payments and refunds for your online store.

Written by Leodith T.

Once your items are live, Sell helps you keep track of how your store is doing and what needs your attention. This article covers your sales dashboard, new sale emails, what your customers receive, order statuses, order details, digital downloads, and payments and refunds.

Monitor Your Sales Dashboard

Your sales dashboard gives you a quick overview of your store's performance.

  1. From the left sidebar menu, click Sell.

  2. Review the key metrics displayed at the top of the dashboard:

    • Revenue this month: Shows your total earnings for the current month. Click the card to see a chart over time, and choose a range: 1D, 1W, 1M, 1Y, 3Y, or All.

    • Orders this month: Displays the number of orders received in the current month. Click the card to see a bar chart with the same ranges.

    • Best seller this month: Shows your most popular item this month and how many you've sold. Click the card for details.

Get Notified of New Sales

Every time someone buys from your website, Durable emails you. The subject line reads You made a sale on followed by your business name, and the email includes:

  • The item sold and the Sale amount.

  • The customer's name and email.

  • The Order number.

  • Answers to any custom questions.

Click View order in the email to open the order in Sell.

How Customers Choose Shipping

When a customer buys a physical or made-to-order item, the cart shows Delivery & pickup options. If they choose delivery, they enter their shipping address and continue to checkout.

Under Shipping information, the customer selects a Shipping method from the shipping rates configured for the shop. The order total updates automatically to include the selected shipping cost.

What Your Customers Receive

After checkout, your customer gets an order confirmation email. The subject line reads Your order from followed by your business name, and the email includes:

  • A Your order is confirmed receipt listing each item and its price.

  • Their answers to any custom questions.

  • The Order number.

Customers can click View order in the email to see their order. For digital downloads, the email also includes their download link.

Manage Orders by Status

The Orders tab helps you organize and track customer purchases. It appears once you've published an item.

  1. From your Sell dashboard, click the Orders tab.

  2. Click Display in the top right and choose a view:

    • Table view: Displays orders in a list with columns for Buyer, Amount, Item type, Status, Items, and Date.

    • Board view: Presents orders as cards in customizable columns, similar to a Kanban board. The default columns are To-do, In progress, and Done, and new orders start in To-do.

  3. To customize order statuses in Board view:

    1. Click the + Add status button to create a new status column. Enter a name, pick a color, and click Add status.

    2. Click a status name to rename it or change its color, then click Save. To remove the status, click Delete.

    3. Drag a column to change the order of your statuses.

    4. Drag and drop order cards between status columns as each order progresses.

Tip: Set up statuses that match how you work. For example, a made-to-order business might use To-do, Building started, Shipping, and Shipped, while a bakery taking pickup orders might use To-do, Baking, and Ready for pickup.

Statuses are for your own tracking. Changing an order's status doesn't email the customer. To update them on their order, click View customer in the order panel and message them from their profile. See Managing Customer Interactions: Messages, Notes, and Invoices.

View Detailed Order Information

Each order has its own details panel with everything you need to fulfill it.

  1. From the Orders tab, click any order to open its details.

  2. Review the information provided:

    • Order number, Buyer, Total, Status, and Date.

    • Email, Payment status, and Fulfillment type (e.g., Delivery, Pickup).

    • A list of Items purchased.

    • Answers to any custom questions, and the customer's Shipping address.

    • A History timeline showing all status changes and actions related to the order.

    • A section to add private Notes for internal tracking. Customers won't see these.

  3. To see everything about the buyer, including your communication history with them, click View customer at the bottom of the panel. This opens their profile in Customers. See Managing Customer Interactions: Messages, Notes, and Invoices.

Deliver Digital Downloads

You don't need to send digital files yourself. When a customer buys a digital download, Durable automatically includes a secure download link on the order confirmation page and in their receipt email. Download links expire after 7 days.

Process Payments and Refunds

Manage the financial side of an order directly from its details panel.

  1. In the order details panel, click Manage payment next to the Total.

  2. Review the transaction details:

    • The payment Status, Date received, Amount, Processing fees, and Net amount. To learn how fees are calculated, see Payment Methods and Processing Fees.

    • Details of the payment method, including card type, last four digits, expiry date, and verification checks (CVC, street, zip).

    • Information about the card owner.

    • A Timeline showing when the payment was started, authorized, and captured.

  3. To refund the customer, click Refund at the bottom of the order panel, or Begin refund in the payment details. Follow the prompts to process the refund.
